Commercial Photographer & Media Accreditation Policy
Event Organiser: Sydney Eventing
Venue: Sydney International Equestrian Centre (SIEC)
Applies to: All photographers and media operating in a commercial capacity at Sydney Eventing competitions
1. Purpose
Sydney Eventing welcomes professional photographers and media to cover our events.
This policy exists to:

Protect competitors (including juniors), spectators, volunteers, officials, and horses

Ensure appropriate risk management and child safety practices
-
Meet venue, insurer, and governing body expectations
2. Who This Policy Applies To
This policy applies to any individual or business who:

Attends a Sydney Eventing event to photograph or film with commercial intent
-
Sells or intends to sell images or footage
-
Uses imagery for business promotion, branding, or marketing
-
Is engaged by a third party (athletes, owners, sponsors, media outlets)
Casual spectators taking personal photos for private use only are not covered by this policy.
3. Mandatory Requirements for Accreditation
To be approved to operate in a commercial capacity, photographers/media must provide prior to the event:
a) Public Liability Insurance

Certificate of Currency

Minimum $10 million cover, valid for the event dates

$20 million Public Liability cover is preferred, and preference may be given to accredited media holding $20 million cover, particularly where access to Field of Play or high-risk areas is required

Cover must include photography/media activities
-
Policy must be current for the event dates

Sydney Eventing / Sydney Eventing at SIEC to be noted as an interested party where possible
b) Working With Children Check (NSW)

Valid NSW Working With Children Check

Status: Paid
-
WWCC number to be provided
4. Conduct & Safety Expectations
Approved photographers/media must:
-
Comply with all Sydney Eventing, EA/ENSW, and SIEC safety requirements

Follow directions from officials, stewards, and event organisers
-
Remain outside restricted areas unless explicitly permitted
-
Not interfere with competition, horses, riders, or officials
-
Act professionally and respectfully at all times
Failure to comply may result in removal from the venue.
5. Approval Process

Documentation is to be submitted via email prior to the event

Accreditation may be reviewed annually or per event
-
Sydney Eventing reserves the right to refuse or revoke approval
6. Disclaimer

Sydney Eventing accepts no responsibility for loss, damage, or injury caused by commercial photographers or media.
All approved photographers operate at their own risk and remain fully responsible for their actions and compliance with this policy.
How To Apply
Photographers and media wishing to operate at Sydney Eventing events in a commercial capacity are required to apply for accreditation prior to the event.
To apply, please email the Sydney Eventing Committee with:

A copy of your Public Liability Certificate of Currency

A valid NSW Working With Children Check number

A copy of our Media Accreditation Form

The media outlet or business you represent, and the day(s) you intend to attend
This requirement applies to journalists and commercial photographers.
Once received and reviewed, your accreditation will be confirmed.
Recognition Of Accredited Media
Sydney Eventing is pleased to support and promote accredited photographers attending our events.
Photographers who are approved through the accreditation process may be:

Listed on the Sydney Eventing website as accredited event photographers

Featured across Sydney Eventing social media channels
This helps competitors, owners and supporters easily identify approved photographers attending the event.
